Executive Associate - 6-Month Temp Contract

A start-up tech company is seeking a highly capable and proactive Executive Associate (EA) to support the founders across a wide range of operational, administrative, finance, sales, and marketing activities. This is a newly created role designed for someone who enjoys variety, wants to learn quickly, and thrives in a small, dynamic environment. The position will begin on a 6-month temporary contract, with strong potential to transition to permanent.

The successful candidate will work closely with senior leaders across business & finance, commercial/sales, and delivery functions.

What You'll Do

Executive & Operational Support

* Provide high-level EA support, including calendar management, inbox organisation, document creation, and meeting coordination.
* Assist with preparation of board materials, management reports, funding documentation, and general business administration.
* Maintain smooth operations across multiple internal systems and workflows.

Finance & Accounts Administration

* Support basic finance tasks such as expense processing, supplier invoices, budget tracking, and documentation collection.
* Act as the internal liaison with the external accounting partner for payroll, tax filings, and management accounts.
* Contribute to invoicing and general financial administration as needed.

Sales, Marketing & Event Support

* Update and maintain sales data, reports, and contact information (HubSpot experience useful but not essential).
* Draft LinkedIn posts, help with marketing content, and assist with updates to the company website.
* Play a key role in organising company events, including coordinating logistics, communications, invitations, and on-site support.

HR & Systems Administration

* Support basic HR tasks including onboarding/offboarding documentation and employee record management.
* Assist with updating the HR system (Personio experience welcome but not required).
* Keep internal documentation and processes organised and up to date.

AI-Driven Productivity (Essential)

* Use AI tools such as ChatGPT, Gemini, or Copilot to automate admin tasks, draft content, analyse information, and streamline workflows.
* Apply AI to improve efficiency across admin, sales, marketing, and operational processes.

What We're Looking For

* Experience in administration, operations, coordination, or EA support.
* A natural all-rounder with strong attention to detail, excellent communication skills, and the ability to manage competing priorities.
* Comfortable working in a small start-up environment and willing to learn quickly across multiple areas.
* Familiarity with HubSpot, Personio, Wix, or G-Suite is beneficial but not essential.
* Confident using AI tools for everyday business tasks.
* Professional, discreet, and able to build trust with senior stakeholders.
