About the Role
At D4Dentist, we combine personalised care with cutting-edge digital dentistry to deliver exceptional patient experiences. The Treatment Coordinator (TCO) plays a central role in supporting patients through their full treatment journey — from first enquiry, to consultation, to completion of care.
We are seeking a warm, organised, knowledgeable, and patient-focused TCO who will champion communication, help patients feel confident and informed, and work closely with our clinical and front-of-house teams to ensure outstanding care.
This role is ideal for someone with a dental nursing background who loves people, is confident explaining treatment options, and wants to contribute to a modern, forward-thinking practice.
Key Responsibilities
Patient Journey & Experience
* Conduct complimentary consultations (in-person, video, or phone) to understand patient goals and concerns.
* Welcome new patients, guide them through the new-patient experience, and ensure clarity and comfort at every stage.
* Respond promptly to all new patient enquiries (email and phone).
* Explain treatment options using visual aids, digital scans, and before-and-after cases.
* Reassure, educate, and support patients throughout their decision-making process.
* Manage all pre- and post-consultation communication.
* Build trust and rapport to increase treatment acceptance and enhance satisfaction.
* Ensure every visit feels personalised, supportive, and memorable ("wow" experience).
Clinical & Administrative Liaison
* Clearly interpret treatment plans and translate clinical terminology into patient-friendly language.
* Ensure all documentation, consent forms, and financial agreements are fully completed and accurately stored.
* Communicate key practice policies (late cancellation, deposit, payments, feedback).
* Support smooth handovers between clinicians, nurses, and front-of-house.
* Schedule follow-ups, maintain recall systems, and help keep clinician and hygienist diaries efficiently filled.
* Provide accurate TCO notes and handover documentation so any team member can follow the patient's journey seamlessly.
* Support the planning and organisation of treatment options meetings, including visuals, consent information, guarantees, and presentation materials.
Sales, Communication & Conversion Support
* Track treatment acceptance and generate conversion reports.
* Promote high-value treatments (cosmetic, orthodontics, whitening, implants).
* Provide financial information and payment plan guidance.
* Follow up with undecided patients to support positive decision-making.
* Handle objections professionally and collaborate with dentists where needed.
* Encourage referrals and share information on patient referral incentives.
Practice Promotion & Patient Engagement
* Support marketing activities, testimonials, reviews, and social content (if confident).
* Celebrate completed treatments with patients and encourage Google reviews and recommendations.
* Represent the practice with professionalism and warmth at all times.
* Be involved in creating and leading planned practice events, open days and representing the practice at promotional opportunities and wedding fayres.
